Marketing Coordinator
Full Time - Paoli, PA
Ideal candidate would be a recent college graduate.  This position requires a unique combination of technical and interpersonal skills.  Duties range from proposal preparation, designing ads and implementing marketing campaigns, to seminar and conference planning, and implementation along with invoicing and accounting.   Attention to detail and proofreading skills are a must. The successful candidate will be a quick learner, self-starter. Must be able to work independently and cooperatively on a team.  General Computer & Microsoft Office experience required. Experience with HTML and Adobe Creative Suite Programs a plus.

Accounting Duties
• Run monthly invoices to be approved by partners
• Review billed time for spelling/grammar mistakes
• Copy and mail signed invoices to clients
• Maintain database of clients and users for billings
• Record and organize accounts receivable activities in timekeeping and accounting software programs*
• Maintain accounting program accuracy
• Perform monthly account reconciliations and other bookkeeping transactions to prepare for quarterly CPA reviews
• Coordinate with accountants for quarterly, annual and tax review visits
*Training will be provided for accounting programs

Marketing Duties
• Maintain proposal template and electronic folder
• Maintain hard copy file of large proposals
• Coordinate document submissions from engineers
• Prepare proposals for final mailing and submission
• Monitor and maintain client database
• Maintain e-blast lists in conjunction with MDC Advisor (E-newsletter) and other MDC event notifications
• Oversee annual resume updates
• Develop project profiles with project managers
• Website updates and maintenance (user friendly)
• Update conference and seminar page monthly
• Upload newsletters, articles and presentations to publications page
• Prepare annual marketing budget and monthly updates
• Develop, prepare, and execute seminars and conferences
• Attend seminars and conferences as on-site representative
• Maintain calendar of events
• Coordinate travel arrangements
• Edit PowerPoint Presentations
• Assist with follow up from seminars
• Prepare, design, and execute advertising campaigns
• Write and place press releases as needed
• Prepare brochures and flyers for printing
• Prepare and execute direct mailing campaigns
• Prepare and execute electronic newsletter

Administrative Duties
• Order, maintain and execute client holiday cards and gifts
• Order all office supplies, mailing supplies, and postal forms
• Order toner and request maintenance for copiers and printers
• Open, date-stamp, and distribute incoming mail
• Prepare and send Federal Express, UPS, etc., as needed
• Answer incoming phone calls
• Order company letterhead, mailing labels, and note cards as needed
• Any additional administrative functions, including errands for the company, when necessary.

Software Knowledge
• Required:  Microsoft Office
• Adobe Creative Suite, Swiftpage/Constant Contact, Quicken Expensables, Timeslips, Canvas, Timemaps a plus but not expected
